We've put together a list of suggested housekeeping actions to help you prepare BlueSky for a new year or intake. We've also suggested some reports we recommend running prior to any staff creation or removal.
Data
- Run key reports to retrieve a snapshot of staff data before staff are removed. We recommend, where applicable: CPD, Professional Objectives, Overview Statements and Observations.
- Check leavers have completed their appraisal reviews and retrieve any data you need for organisation records, by using the relevant reports.
Users
- Remove staff leavers. This will break links to line managers for you, along with the organisation, so you do not need to do this as a separate task.
- Add new staff to the organisation. If a member of staff has used BlueSky before, please contact us so we can link their account, with their permission.
User Details and Mapping
- Update line management (appraiser) relationships where necessary. (Line Manager Mappings Report)
- Update staff membership to groups, ensuring any new staff are placed in those relevant Inc. roles or subject. (Groups Report)
- Update pay scale information (if applicable). Your account manager can assist with this if there is a large number of changes.
- Review report and administration permissions across senior leaders and administrators.
Custom Organisation Data, Forms and Events
- Archive outgoing organisation and group objectives (improvement/development plans).
- Add new organisation objectives. To create group (department/subject) ones, simply select the relevant group to restrict them to.
- Create or duplicate and update Observation and Monitoring forms, including any associated custom scales if they have changed in the new academic year or from any outcomes of the previous year.
- Archive any Observation and Monitoring forms no longer in circulation.
- Add details of any organisation training events that require promoting to staff.
When a member of staff leaves your organisation
Moving to another BlueSky subscribed organisation
If staff move to another BlueSky organisation, they can take their account with them. They can access their historical records but they will be confidential. The individual should contact support to arrange for their account to be transferred.
Moving to a non-BlueSky subscribed organisation
Staff can continue to access their BlueSky account as an individual for FREE. They will need to change their email address from your organisation’s email address in their profile. This will ensure they can continue to receive notifications, reset their password and we can remain in touch with them.
