Groups
Groups are vital to many aspects of BlueSky and getting this structure right is extremely valuable in allowing reports, resources and permissions to be filtered by or restricted to.
- Select Users & Groups from the left-hand navigation menu.
- Select Manage Groups from the top right corner.
- We create some basic structures for you, so it won't be completely empty. You can edit these or start from scratch, in either instance first we need to create the group's Category.
- Select New Group Category
- Simply type in the name i.e. Departments and press Save.
- Now click on your newly created category to enter to create your group(s).
- Here you'll see the category label at the top so you can check you're in the right one, then simply select New group.
- Give the group a name i.e. History and if the group should be restricted to certain colleagues, for confidentiality or administrative purposes, you can make it private by selecting the Private checkbox.
At this point, you can also determine whether this group will have limited access to the features of the app. As previously mentioned, we don't recommend this but this can be beneficial for certain groups such as NQTs or Trainee's where you may wish to focus their use.
- Press Save
- Now your group has been created you need to add its members. Scroll in the window to locate the relevant individuals or use the search box to locate them. It will auto-search as you type, so simply check the box and repeat until all members have been selected. It auto-saves as soon as you select too, so there's no save button here.
- Once you're done, select Back to groups index in the top right corner. Now you can see all the members you selected.
- Should you need to edit the name of the group or its members, you'll find those links here too. If you wish to delete a group entirely you will need to deselect all of its members first.
Last but not least...
When you're done, head to Reports on the left-hand navigation menu. Under Management of BlueSky is the Groups Report. Run this with the results grouped by Group and you can see your full group structure.
At the bottom of the report we also provide Unassigned Users, so you can find anyone you may have missed.
